Future of Humanity Institute (hereinafter referred to as the “Foundation”) has established the following policy regarding the handling of personal information.

The definitions of terms used herein are in accordance with the Act on the Protection of Personal Information (hereinafter referred to as the “Act”) and related laws and regulations.

1. Compliance with Applicable laws, Regulations and Guidelines

The Foundation will comply with the Act and other related laws, guidelines established by the Personal Information Protection Commission, and this policy, and will handle personal information legally and appropriately.

2. Acquisition of Personal Information

The Foundation will acquire personal information through legal and appropriate means.

3. Purpose of Use of Personal Information

The Foundation will use the personal information it acquires within the following purposes of use or within the purposes of use that are clear from the circumstances of acquisition, based on the philosophy of the Foundation’s activities, and will not use it for any other purposes, except with the consent of the person concerned or as permitted by law.

  1. Call for membership, donations
  2. Reports on business and organizational operations
  3. Notice of events, seminars
  4. Distribution of the Foundation’s website, SNS, e-mail magazines
  5. Delivery of thank-you letters, receipts, goods
  6. Correspondence in response to requests for information materials and inquiries to the Foundation
  7. Recruitment activities
  8. Monitoring of access to the Foundation and improvement the dissemination of information
  9. Preparation of statistical data in a format that does not allow individuals to be identified
  10. Improving the quality of telephone support and preventing problems

4. Outsourcing of Personal Data

The Foundation may outsource the handling of personal data to subcontractors in order to facilitate smooth operations. Provided, however, the personal data to be entrusted will be limited to the minimum information necessary to carry out the entrusted work.

5. Provision of Personal Data to Third Parties

The Foundation will not provide personal data to third parties (excluding subcontractors) without the prior consent of the individual or unless permitted by law.  Provided, however, the following cases are excluded:

  • When there is a request for disclosure based on laws and regulations;
  • When disclosure is necessary for the protection of the life, body, or property of an individual and it is difficult to obtain the consent of the individual;
  • When it is especially necessary to enhance public health or to promote the sound growth of children and it is difficult to obtain the consent of the individual concerned;
  • When it is necessary to cooperate with a national agency, a local government, or an entity entrusted by them to execute affairs prescribed by law, and obtaining the consent of the individual is likely to impede the execution of such affairs;
  • Cases in which personal data is provided to an academic research institution, and in which such academic research institution needs to handle said personal data for academic research purposes (including cases in which part of the purpose of handling said personal data is for academic research purposes, excluding cases in which there is a risk of unjustified infringement on the rights and interests of individuals); or
  • Other cases permitted by laws and regulations.

6. Management of Personal Data

Ensure Accuracy of Data Content

The Foundation will keep personal data accurate and up-to-date to the extent necessary to achieve the purpose of use, and will endeavor to delete such personal data when it is no longer necessary to use it.

Security Control Measures

The Foundation will take necessary and appropriate measures to prevent leakage, loss, or damage of personal data and for other security management.

Supervision of Employees

When handling personal data by employees, the Foundation will ensure that they are familiarized with the proper handling of personal information, provide appropriate training, and supervise them as necessary and appropriate.

Supervision of Contractors

When the handling of personal data is entrusted to a subcontractor, the Foundation will select a subcontractor that has appropriate security control measures in place, and will provide necessary and appropriate supervision of the subcontractor.

7. Reception of Retained Personal Data

(1) When the individual or his/her representative requests notification of the purpose of use of retained personal data, we will notify the individual or his/her representative without delay, except in the following cases:

  1. (a) Where the purpose of use of retained personal data that identifies the person is apparent;
  2. (b) When there is a risk of harm to the life, body, property, or other rights or interests of the person concerned or a third party;
  3. (c) When there is a risk of harm to the rights or legitimate interests of the Foundation; or
  4. (d) Cases in which it is necessary to cooperate with a national agency or local public entity in the performance of its duties as prescribed by law, and in which there is a risk of interfering with the performance of such duties.

(2) When disclosure of retained personal data is requested by the individual or his/her representative, we will notify the individual without delay, except in the following cases:

  1. (a) When there is a risk of harm to the life, body, property, or other rights or interests of the person concerned or a third party;
  2. (b) When there is a risk of significant hindrance to the proper conduct of the Foundation’s business; or
  3. (c) If it would be in violation of laws and regulations.

(3) If the individual or his/her representative requests correction, addition, or deletion of retained personal data, we will investigate without delay and take appropriate action based on the results.

(4) If the individual or his/her representative requests the suspension of use or deletion of retained personal data, and it is found that there is a reason for the request, we will take appropriate measures.

(5) To make a request as described in the preceding four paragraphs, please fill out the request form prescribed by the Foundation and send it, along with the documents listed on the request form, to the Foundation’s contact listed in 10 below. The personal information provided will be used for the purpose of responding to the request and will be kept in strict confidence. Please note that the request form and attached documents will not be returned.

8. Cookies

The internet pages of the Foundation use cookies. Cookies are text files that are stored on  computer systems via  Internet browsers. Many Internet sites and servers use cookies. A cookie consists of a string of characters that can assign Internet pages and servers to the particular Internet browser in which it is stored. This allows the viewed Internet site or server to identify the individual browser of the data subject from other Internet browsers that contain other cookies. A unique cookie ID can be used to recognize and identify a particular Internet browser. Through the use of cookies, the Foundation is able to provide the users of this website with user-friendly services that would not be possible without the cookie setting.

The use of cookies allows us to optimize the information and advertising on our website with the user in mind. The purpose of this is to make it easier for our users to use our website. For example, website users who use cookies do not have to enter their access data each time they visit a website, since cookies are stored on the user’s computer system through the website. At any time, the data subject can prevent the setting of cookies through our website by means of the corresponding settings of the Internet browser used, and can permanently disable the setting of cookies. 9. Revision of this Policy

The Foundation will review the contents of this policy from time to time and may make changes as necessary. Provided, however, in the event that the Foundation changes this Policy in a manner that requires the consent of the individual, the changed Policy shall apply only to those who have consented to the change in the manner prescribed by the Foundation. If the Foundation decides to change this policy, it will notify the individual or publicize the revised policy by displaying the revised policy on the Foundation’s website or by other appropriate means.
